Top right of the screen

Click on your username to access the password change option.

ℹ️ If the user logs in with SSO, the password change option is not available.

By clicking the icon to the right of the username, the menu bar on the left can be collapsed to show only icons. This gives you a wider screen to navigate the application. Click the icon again to display the full menu.

By default, the application is available in English to ensure our team can provide maintenance and support if needed.
A secondary language can be selected to make navigation easier.
Available translations include: French, German, Spanish, Italian, Dutch, and Japanese.

Click the gear icon to access your inbox and view to-dos tasks.

Inbox

The inbox allows you to:

  • View the results of data imports and exports, displayed as data logs reports. These logs are especially useful to verify whether data imports into ACADEM were successful.
  • Download exported data from the ACADEM database.

Double-click on a row — either under Data Logs or Data — to view the report or download the data.

To-Do Tasks (Notifications)

Some users may receive notifications in this list when specific actions are initiated in ACADEM.
To receive these notifications and validate actions, the user must be added to the corresponding validation group in Tracking One.

The following actions trigger notifications:

  • Submission of a contribution to the database
    → Group: GRP_ADD_CONTRIB in Tracking One
  • Modification of a faculty profile
    → Group: GRP_ITEM_CHANGED in Tracking One
  • Addition of a publication support
    → Group: GRP_ADD_MEDIA in Tracking One
  • Addition of an external institution
    → Group: GRP_ADD_EXT_INST in Tracking One

From the to-do list, double-click on a notification to open the page where the action can be validated.
To remove a notification from the list, click the gear icon.

ℹ️ Notifications can also be validated in bulk from the menu Other > Validation > Mass validation

Left Menu

Right-click on the page to select one or more widgets to display on the Dashboard when you log in to the application.

Available widgets

General Ranking: Click the gear icon to select a ranking. Track the quantity and score of contributions ranked according to the selected ranking.

Professor lookup: Click the search box to filter the list of faculty members by competencies, languages, teaching domains, industrial domains, research domains, and geographic areas.
Click the list icon at the bottom right of the widget to view the filtered list of professors.

Contribution Integration (Connector Option): Track intellectual contributions to be integrated from the menu: Exchange > Intellectual Contributions Integration.

Analysis Charts: AACSB Category, AACSB Qualifications, state of contributions, nationality of active faculty, types of active faculty, title distribution, department distribution, FTE (%), gender distribution, Intellectual Contributions.

Click the X at the top right of a widget to remove it from the Dashboard.

Right-click on a chart widget to: refresh the data, change the chart title, switch to 3D mode, show/hide the legend and labels, adjust the display, download the chart, or close the widget.

Add faculty members and edit their profiles (or Curriculum Vitae) in the database.

Opening a Curriculum Vitae provides access to all data related to the faculty member in the FACULTY table: personal information, relation with the institution, competencies/degrees, professional experiences, research projects/intellectual contributions, and more.

All entities (campuses, departments, publications, faculty, persons, programs, media) are grouped in this menu.
It allows you to establish relationships between entities and define dynamic roles.

Access referential and standard data tables.
Add, view, and edit the institution’s data through data imports and/or interface screens. Manage publication media and their rankings.
Import/export all standard data tables (faculty, programs, activities, contributions, etc.).

Filter, process, cross-reference data, and generate analysis reports.

Download reports for accreditation applications/renewals and faculty evaluation.

Integrate data through connectors.

Ensure data consent and anonymization.

Validate notifications in bulk, download useful documentation (manuals), modify screen rules, delete/merge data, and configure the system.
